Choosing a managed IT provider is one of the most consequential technology decisions a Perth business makes. Get it right and your IT becomes an asset. Get it wrong and you're locked into a relationship that's slow, expensive, and hard to escape. This guide gives you 10 specific questions to ask any MSP — including what a good answer looks like.
Quick summary — 10 questions to ask any Perth MSP:
- Are your engineers Perth-based and available on-site?
- What does your proactive monitoring actually cover?
- Is cybersecurity included or a paid add-on?
- Do you manage Microsoft 365 end-to-end?
- What are your defined response times by severity?
- What is and isn't included in your monthly fee?
- What does your MSP transition process look like?
- What reports do I receive, and how often?
- Do you have experience in my industry?
- What is the notice period and what happens to my data?
1. Are your engineers Perth-based and available on-site?
Many IT providers operate nationally from a central support desk, which means you might be talking to someone in Sydney or interstate when you have an urgent hardware issue in Perth. On-site support matters — especially for hospitality venues, financial offices, or any business where a physical visit can't be replaced by a remote session.
What a good answer looks like: "Our engineers are based in Perth. We can provide on-site support across the metro area within [X] hours. We also cover South West WA and regional sites."
2. What does your proactive monitoring actually cover?
Every MSP claims to be "proactive." The difference is in the specifics. Proactive monitoring should mean your provider knows about a failing hard drive, a backup that hasn't run, or a server running hot — before you do. Ask them to be specific about what their monitoring platform detects and how alerts are handled.
What a good answer looks like: "We use an RMM (Remote Monitoring and Management) platform that monitors endpoints, servers, and network devices 24/7. We receive and triage alerts automatically and can often resolve issues before they cause downtime."
3. Is cybersecurity included or a paid add-on?
This is one of the most important questions you can ask. Many MSPs charge separately for endpoint protection, MFA enforcement, security monitoring, and incident response — treating cybersecurity as a premium upsell rather than a baseline responsibility. In 2026, basic security controls should come standard.
What a good answer looks like: "EDR (endpoint detection and response), MFA enforcement, and security patching are included in our managed IT plans. We align our controls to the SMB1001 framework as a baseline."
4. Do you manage Microsoft 365 end-to-end?
For most Perth businesses, Microsoft 365 is the platform that everything runs on — email, documents, Teams calls, device management, and identity. A good MSP doesn't just reset passwords. They manage your Entra ID tenant, enforce conditional access policies, configure Defender, and manage Intune for device compliance.
What a good answer looks like: "We manage the full M365 stack — licensing, Entra ID, Intune, Defender, Exchange Online, and Teams. We're Microsoft partners and our engineers hold relevant M365 certifications."
5. What are your defined response times by severity?
Vague SLAs are one of the most common complaints Perth businesses have about their current MSP. "We aim to respond quickly" is not an SLA. You need defined severity levels with specific response and resolution targets for each.
What a good answer looks like: "P1 (business down): 15-minute response, 4-hour resolution target. P2: 1-hour response. P3: 4-hour response. These are written into your agreement and we report against them monthly."
6. What is and isn't included in your monthly fee?
Surprise bills are the second most common complaint. Many MSPs use per-seat pricing but have a long list of exclusions — project work, hardware procurement, after-hours calls, M365 licensing, or security services all get charged separately.
What a good answer looks like: Clear documentation of inclusions and exclusions in the agreement, with examples. No vague "reasonable use" clauses.
7. What does your MSP transition process look like?
If a provider doesn't have a documented onboarding and transition process, that's a red flag. Switching MSPs without a structured handover is how things get lost — credentials disappear, documentation never materialises, and you spend the first three months firefighting.
What a good answer looks like: "We follow a documented 4-stage process: Discovery, Stabilise, Optimise, and Partner. You receive a written baseline report in week one and a roadmap within 30 days."
8. What reports do I receive, and how often?
Visibility is a key differentiator between MSPs. You should be receiving at minimum a monthly report covering: ticket volume and resolution times, patching status, backup verification, security events, and upcoming renewals.
What a good answer looks like: "You receive a monthly IT report card covering all the areas above. We also do quarterly business reviews to align IT planning with your business roadmap."
9. Do you have experience in my industry?
IT for a hospitality venue is different from IT for a financial services firm. Ask specifically whether they understand your industry's compliance obligations, technology stack, and operational pressures. A hotel needs an MSP who understands PMS/POS systems, guest WiFi segmentation, and the fact that problems need fixing at 2am — not 9am.
What a good answer looks like: Named reference clients in your industry, specific knowledge of your compliance requirements, and engineers who have worked in your sector before.
10. What is the notice period, and what happens to my data?
You should stay because the service is good — not because the exit terms make leaving painful. A reasonable notice period is 30–90 days. You should retain ownership of all documentation, configurations, and credentials.
What a good answer looks like: "30-day notice period. All documentation, credentials, and configurations belong to you. We'll actively assist your new provider during handover."
